Job Description:

The Project Coordinator provides critical administrative, communications, and programmatic support for delivery of training and technical assistance (TA); meeting planning; and other related activities. The Project coordinator works collaboratively with and supports all members of the program area team and the project as a whole when needed.


This position reports to the Project Director and supports the Technical Expert Leads (TELs), Technical Assistance Managers (TAMs) and Project Manager. Specific job responsibilities include the following:

  1. Technical Assistance Logistics and Delivery Support
    • Works with the TEL, TAM, and others to support and ensure the smooth implementation of grantee meetings and other multiple participant events, including webinars, site visits, and learning collaboratives.
      • Supports online meetings and trainings through use of Zoom or other online meeting platforms, monitoring participation, note-taking, and technical support.
      • Coordinates with consultants by sending background materials and requests for information;Assist with gathering, tracking, processing, and archiving of fee and expense vouchers, special travel requests, and/or timesheets for consultants.
        • Coordinates development of PowerPoints, handouts, background information and other materials from consultants, meeting presenters, and others. Works with team to ensure materials are edited, properly formatted, and in compliance with project and client standards.
          • Prepares and transmits TA materials to consultants, grantees, client, and other relevant TA team members.
            • Works with the entire TA team for the smooth operation of grantee meetings, including ordering, preparing, and tracking meeting materials; registering meeting participants and tracking registrations; arranging for the shipping/delivery of meetings materials; and providing onsite staff support.
            • May contribute to project reports (e.g., quarterly reports, site visit reports, meeting summaries).
          • Coordinates with senior leadership, client, and TELs to develop monthly newsletter
          • Monitors public-facing email inbox and provide timely response to information requests
          • Works with project senior management and other team members to facilitate communication with the client and develop an ongoing, collaborative relationship.
          • Prepares and disseminates communications via listservs and other related technology
          • Supports content updates on public website and participates in project marketing activities
          • As needed, coordinates with subject matter experts and internal JBS centers for the development and dissemination of Learning Management System (LMS) modules
  • Schedules conference calls for TA planning; may assist in documentation of calls.
  • Sets up all-hands staff meetings; solicits agenda topics, drafts agenda; ensures room set-up and needed equipment are available; sets up conferencing platform (eg Zoom, Teams) if needed.
  • Takes notes, cleans, and shares meeting minutes for all-staff check-ins, client meetings, and other TA events.
  • Ensures that the files on the shared drive and related systems are organized, current, and accurate.
  1. Other Duties as assigned
    • May support development of new business proposals
    • Over time, and as skills and competencies increase, may take on increasing responsibility for TA planning and delivery.
      • May participate in TA planning calls.
        • Looks for opportunities to make project activities run more smoothly and acts accordingly.


Education/Experience:Bachelor's degree with 1 year experience working in administration, logistics, or office support; or Associate's degree with 4+ years work experience in an office environment

Language:English fluency (oral and written)

Skills: Must be able to organize, track and complete multiple tasks during the work day as priorities change. Key qualifications include initiative, organizational skills, ability to work well in a team, and excellent communication skills (oral and written). A high level of attention to detail.

Software Proficiency:Microsoft Office Suite

Location: This position is located onsite in North Bethesda, MD (currently remote due to COVID-19)


Education:Degree insocial services, communications or public health-related field preferred

Software Proficiency:Online meeting platforms (such as Zoom, Teams, etc)

Experience:Experience working in human services, public health, or federal contracting
